Cover letters are the most-skipped part of an Indian visa application and the most-read part by consular officers. Here are real, annotated templates for Schengen, UK and US visas that actually work in 2026.
Quick answer
A good visa cover letter is one page, signed, addressed to the consular officer of the specific country, and answers seven specific questions in clear English: (1) who you are and what you do, (2) exact dates of travel and return, (3) day-by-day itinerary with cities and accommodation, (4) who is funding the trip, (5) your ties to India (job, family, property, financial commitments), (6) previous international travel and visa history, (7) an explicit commitment to return by a stated date. Tone: professional, factual, no rambling. Style: short sentences, clear paragraphs. Length: 250-400 words. Below are annotated templates for the three most-applied-for visas — Schengen, UK and US.
Why cover letters matter more than most Indian applicants think
Consular officers and entry clearance officers process hundreds of files per week. The cover letter is the single document that tells them — in your own words, before they see the supporting documents — who you are, why you are going, and why they should approve. A vague, generic, copy-paste-from-internet cover letter actively works against you.
Conversely, a specific, factual, well-structured cover letter primes the officer to read the rest of the file favourably. It is also where you can pre-empt and address obvious concerns: a recent job change, a sponsor relationship, a previous refusal.

US B1/B2 visa cover letter — when and how to use one
US visa applications use the DS-160 online form and the consular interview. There is no formal cover letter required, and officers in India typically do not read attached cover letters during the brief 60-90 second interview. However, a short cover letter can still be useful in two cases: (1) documenting a sponsor relationship for the interview, (2) addressing a prior 214(b) refusal proactively.

Common cover letter mistakes
(1) Generic openings — "I have always dreamed of visiting Europe" — wastes line space and adds zero credibility. Start with purpose and dates.
(2) Long-winded narratives — officers want facts, not memoirs. Stay under 400 words.
(3) Vague itinerary — "tour Europe for 10 days" tells the officer nothing. Specific city, hotel, day-by-day.
(4) Dates not matching application form, flights or hotels — instant credibility loss.
(5) Inflated promises ("I will visit famous landmarks and enjoy local culture") — fluff, not facts.
(6) Unsigned or unsigned-in-blue — print, sign with a blue pen, then submit.
(7) Multiple typos — proofread or have someone proofread. Sloppy presentation reads as sloppy applicant.
Tailoring for different applicant profiles
First-time international applicant — emphasise stable employment, ties to India, specific itinerary; acknowledge it is your first international trip and explain why.
Self-employed applicant — explain the business in 2 sentences, mention turnover and registration, mention who will manage business during absence.
Student applicant (vacation trip) — emphasise current course enrolment, parents' financial sponsorship, return for next academic term.
Sponsored visit (relative in UK/US/Schengen) — clearly state sponsor relationship, status, address, financial undertaking; supplement with sponsor's documents.
Recent passport / first travel — explain why the timing now, acknowledge no prior international travel, emphasise other forms of ties (long employment, property, dependents).

Frequently asked questions
Should I write my cover letter in English or in the local language of the country I am applying to?
Always English. All major embassies in India (UK, US, Schengen, Canada, Australia, Japan) accept and prefer English cover letters. Local-language letters add no value and can confuse the file.
How long should a visa cover letter be?
250-400 words, one A4 page. Officers do not have time to read longer documents. Brevity, structure and factual specificity beat length every time.
Should I print the cover letter or write it by hand?
Print. Use Calibri or Times New Roman font, size 11-12, on plain A4 white paper. Sign in blue ink at the bottom. Handwritten letters look unprofessional and are difficult to read.
Do US visa officers actually read the cover letter at the interview?
In most cases no — the US interview is too brief (60-90 seconds) for the officer to read a cover letter. A cover letter is more useful as a supporting document for documentation completeness and as preparation for the interview itself. It does not replace clear, confident answers during the interview.
Can I use AI to write my cover letter?
You can use AI tools as a starting draft but customise heavily. Generic AI-generated letters often have a tell — vague phrasing, US-English idioms in an Indian context, missing personal specifics. The final letter must be in your voice, with your dates, your itinerary, your numbers.
What if I made a small mistake in my cover letter after submitting?
Minor typos generally don't affect outcome. Material errors (wrong dates, wrong sponsor name, wrong purpose) should be corrected by submitting a corrected version through the VFS centre or in the next correspondence with the embassy. Major inconsistencies between cover letter and supporting documents must be reconciled before submission.
